Data Deletion Request

Request deletion of your account and associated personal data, or of specific personal information recorded in Yacht Watchkeeper or Yacht Watchkeeper Station. This includes information about current or former crew, guests, visitors and contractors. You do not need to sign in or have an account to make a request.

How to request deletion

Email support@yachtwatchkeeper.com with the subject Data Deletion Request — Yacht Watchkeeper / Station. You can request account deletion and associated personal-data deletion, or specify only the information you want reviewed.

  1. Include your full name, a contact email, and your account email if you have one.
  2. Tell us which app you used, your relationship to the vessel, and the vessel or organisation name and approximate dates, if known.
  3. Describe the account or personal information you want deleted. Do not attach passports, medical records or other sensitive documents to your initial email.
Email a deletion request

If an email app does not open, send the request directly to the address above.

What happens next

This is the support contact used by our existing privacy and data-subject request process (GDPR/DSAR). Sending an email does not automatically delete data or create an online case. Your request requires acknowledgement, identity checks and review by the responsible organisation. Ask support for a request reference and use it in follow-up correspondence.

For records entered by a yacht, employer or other organisation, that organisation may be the responsible data controller. The request must be directed to the appropriate controller for a decision about those records. Information recorded through Station is considered within the same vessel-record process, rather than a separate Station deletion workflow. Further information or evidence of authority may be needed to prevent someone else requesting deletion of your information.

A response should explain the outcome, any retained categories and the reason for retention. Deleting an individual account does not delete the yacht organisation or other people's shared records.

Personal data that may be deleted

Depending on what is recorded, the request may cover:

  • Account, contact and profile information, sign-in credentials, preferences and profile photographs.
  • Crew or contractor personal details, emergency contacts, identity and travel documents, and uploaded personal files.
  • Medical declarations, medical certificate information, and dietary or allergy information.
  • Guest and visitor details, visit information, cabin allocations and luggage information.
  • Personal information within activity, travel, employment or other operational records, where deletion or anonymisation is appropriate and permitted.

Not every category can necessarily be erased immediately. The review considers the record's purpose and applicable obligations.

What may need to be retained, and for how long

Employment and contractual records, hours of rest, watch schedules, sea service, signed acknowledgements, certificates, safety and muster records, payroll, financial records and audit evidence may need to remain available for legal, maritime, contractual, tax or compliance reasons. A legal hold, regulatory request or ongoing claim can also affect retention. Account deletion does not override these protections.

Retention depends on the data category, the purpose for which it was recorded, the responsible controller, applicable jurisdiction and flag-state requirements, the relevant end-of-employment or contract event, and any legal hold. A customer export window is not a retention period. Backup copies may remain until their applicable backup cycle expires; this page does not promise immediate removal from every backup.

Existing category-specific periods are described in our Data Retention Schedule. Those periods must be checked against the controller's applicable obligations when handling your request; this page does not introduce new fixed periods or guarantee that automated deletion is enabled. Ask support to identify the applicable period or retention criterion for any information retained in your case.
