Watch Schedule

Plan watches, check department coverage and arrange approved watch swaps.

Understanding Watch Modes

  • Downtime covers routine watches while the vessel is not operating with guests or on passage.
  • Standby uses daily watch planning for periods when the vessel is ready to depart.
  • Guest On provides trip-based working schedules with department timelines.
  • Underway provides passage schedules, including bridge and engine-room watches.
Choose the operational mode before generating or editing a schedule. A watch assignment is not a substitute for checking the crew member's actual hours of rest.

Who Can Use It

Crew
View available watches and use the watch-swap workflow for their own assignments.
HODs and schedule editors
Generate and adjust schedules within their permitted department scope.
Captain and admins
Manage schedules according to their yacht permissions.
Viewing a schedule does not grant permission to change it. Editing controls appear only where your access allows them.

Combined Or Separate Department Schedules

For Downtime and Standby, Combined pools the included departments into one watch schedule. Separate department schedules give selected departments their own coverage instead of treating every department as one shared pool.

1

Choose coverage

Decide whether the vessel needs one combined watch or independent department coverage.

2

Set exceptions

When using Combined, use Separate department schedules for departments that still need their own schedule, such as an engineer on call.

3

Review the result

Check both the combined assignments and any separate department assignments before relying on the roster.

A department marked as separate is not simply an extra filter on the combined roster; it has its own scheduling coverage, labels and colours.

Generating And Adjusting Daily Watches

1

Select the period

Choose Downtime or Standby, the month and the departments to include.

2

Review generation choices

Check crew availability, exclusions and watch rules before generating. Where offered, Smart Generate skips operational days already covered by Guest On or Underway schedules.

3

Check fairness and coverage

Review the generated assignments and fairness information. Availability and scheduling rules can limit how evenly watches can be distributed.

4

Make deliberate adjustments

If you have editing access, open a calendar day to adjust its assignments. Check the affected crew and dates after saving.

A fairness score is planning guidance, not proof that every operational or rest requirement has been met.

Guest On And Underway

Guest On and Underway use schedules tied to a trip or passage rather than only a monthly daily-watch roster.

  • Set the trip or passage dates and department before assigning work.
  • Use the available shift templates and timeline controls to plan work periods.
  • Review rest warnings, including the transition from the preceding day's duties.
  • When plans change, check the adjacent dates as well as the day you edited.

Requesting A Watch Swap

1

Choose the exchange

In the watch-swap area, choose your watch and the crew member and date you want to exchange with.

2

Send the request

Check both dates before submitting. Sending a request does not immediately change the roster.

3

Complete approvals

The exchange requires the other crew member's acceptance and the required HOD and Chief Officer approvals. Watch assignments change only once all required approvals are complete.

4

Check the updated roster

After completion, confirm the new assignments. Associated hours-of-rest entries are synchronised, and Downtime swaps also update the associated days-in-lieu arrangements.

Use the request's available reject or cancel action when the exchange should not proceed.
Sending and approving swaps requires a connection. Do not treat a pending request as an agreed change of duty.

Other Active Schedules

Other Active Schedules helps you identify concurrent Downtime, Standby, Guest On and Underway schedules.

  • Compare the calendar dates with the listed schedules to identify overlapping operational plans.
  • Use View on a schedule to open its details.
  • Check overlapping coverage before adding another watch; seeing two schedules does not itself resolve a conflict.
