Gangway Log

The Gangway Log

The Gangway Log records arrivals and departures. Crew, guests, contractors and day workers remain separate categories: contractors are never crew. Keep the board accurate throughout the day, because its presence information supports emergency headcounts.

  • Onboard status records physical presence, not working hours or leave entitlement.
  • Going ashore for a few hours is different from departing on leave.
  • Use the Gangway Log tab for people; Car Log and Packages have their own tabs.

Gangway Log

Who Can Use It

Crew
Can update their own onboard status.
HODs and admins
Can update other crew members' status using the controls shown on their cards.
Admins
Can open the activity log. HOD status alone does not grant this access.
Only change someone else's status when you have confirmed their arrival or departure.

Record An Arrival Or Departure

1

Find the person

Locate the correct person in the appropriate category and department.

2

Update their status

Use the arrival or departure control on their card. The log records the change and its time.

3

Check the result

Confirm that their displayed status matches their actual location.

Returning aboard may prompt a crew-car driver to record a car return. Signing aboard does not itself complete the car return.

Rotations And Departing On Leave

The crew roster is fed by Leave Planner rotations. Crew reappear on the first day of their next rotation. An ashore status is not a replacement for an accurate rotation.

  • On a travel day or the last day of a rotation, signing out can ask whether the crew member is returning later.
  • Choose "Yes, back later today" for a temporary trip ashore.
  • Choose "No, I'm off — see ya! 🥹" when departing on leave. This removes the person from the gangway roster and all headcounts until their next rotation.
If someone is missing unexpectedly, check their Leave Planner dates as well as their latest arrival or departure.

Guests And Visiting Workers

Use the person's own category when recording a visit. Do not create a crew entry for a contractor or day worker. To sign in a visitor: in the Visitors section (starts minimised — click its heading to open), click Add visitor, enter First name, Last name and Company, click Continue, then click Sign on beside their name. Click Sign off when they leave; History shows their past visits. Contractors use Sign In Contractor and day workers use Add & Sign In.

  • Boarding may require completion of the applicable safety declaration.
  • A temporary departure and a final departure have different consequences for a visiting person's roster entry.
  • Check the visiting person's identity and visit details before changing their status.

Review The Last 30 Days

The activity log shows every arrival and departure from the last 30 days. It is an operational review window, not a statement that older records have been deleted.

  • Activity identifies the person category, keeping crew and visitors distinct.
  • Use the timestamps to investigate a disputed or missed status change.
  • The log is restricted to admin-level access.

Using A Gangway Station

An authorised, paired Station uses the same Gangway Log records, rules and counts. It is not a separate crew roster.

Check that the device is paired to the correct yacht.
Keep Leave Planner and the gangway roster accurate whichever surface the crew use.
During an emergency, follow the Emergency Muster procedure rather than treating ordinary sign-in changes as roll-call confirmations.
