Schedule Planner
Manage rotations, linked travel and deliberate schedule changes.
Understanding Planned Periods
Schedule Planner brings together working rotations, leave and related travel or handover periods. Each period has its own dates and status; a request is not the same as an approved arrangement.
- Check the period type before creating or changing a calendar bar.
- Travel and handover can be linked to a rotation and must be considered when its dates change.
- Temporary working arrangements should reflect the actual working dates. Gaps between temporary working periods are not automatically leave.
- Temporary contracts can be generated for weekdays only or for custom working days.
Who Can Use It
Leave Planner
Reading The Calendar
Choose the view
Open Schedule Planner and select the crew and date range you need.
Inspect the periods
Check the start, end, type and approval status of each relevant bar. Open a period for its details rather than judging solely by colour.
Check surrounding coverage
Review rotation partners, neighbouring periods, travel and handover before proposing a change.

Saved Rotations Stay Where You Put Them
Saved rotations never move merely because you open a planner, refresh the page, change a view or inspect a preview. A saved schedule changes only through a deliberate, confirmed planning action.
Prepare the change
Choose the relevant add, edit, move or generation control. Check the intended crew and dates.
Review the impact
For linked rotations or replacements, inspect the affected partners, neighbouring periods and related travel or handover.
Confirm deliberately
Proceed only when the proposed changes are correct. A preview is not permission to alter unrelated saved periods.
Verify the saved result
Check the resulting calendar and any coverage warnings after the action completes.
Travel
Rotation Changes And Existing Travel Drafts
Every rotation start and end has a draft movement in Crew Movements. A deliberate rotation-date change moves the existing travel drafts associated with that rotation instead of creating duplicates. Booked tickets and completed travel stay protected.
- Check arrival and departure dates against the revised rotation boundaries.
- Review linked travel and handover periods together with the parent rotation.
- Check the travel details after moving dates; a planner change is not confirmation that a booking has been changed.
- Auto Travel Days settings distinguish changing the default from changing existing days. Read the prompt before applying an update to saved periods.

Undoing An Eligible Change
Undo provides a single-step reversal of an eligible planner change. It is a safety aid, not an unlimited history or a way to overwrite newer scheduling work.
Check availability
Use Undo while the eligible change is still available in the current session.
Read any warning
Changes affecting past dates can require additional confirmation because they affect the leave and payroll record.
Check the restored schedule
After a successful reversal, review the affected periods and coverage.

Requests And Balances
Leave requests follow the crew, HOD and Captain review flow. Check the request's status before treating time away as approved.
- The review includes the crew member's schedule and leave-balance information.
- Review accrued entitlement and the effect of the requested dates, not just the number of calendar days.
- See the Leave Planner guide for department visibility, balance treatment and the full request workflow.
