Payroll Management
Review monthly crew pay, correct payroll days, manage payment instructions and prepare readable payslips.
Overview
Payroll brings together salary calculations, payroll days, adjustments and final settlements. Review the selected month and each crew member's underlying employment and schedule information before approving payment.
- Opening Payroll does not calculate or rebuild draft entries; calculation is a deliberate action.
- The End of Contract tab handles final settlements separately from the ordinary monthly review.
Who Can Use It
Payroll
Select And Calculate A Period
Select the month
Open the Payroll tab and choose the payroll period you intend to review.
Check the source information
Confirm employment dates, salary arrangements and relevant schedule information before calculating.
Calculate deliberately
If the period is still Draft and its rotations have changed, a Sync from Rotations button (shown as Sync on phones) appears beside the period selector. Click it to recalculate the draft entries, then review them. The button only appears when the draft is out of date; finalised periods cannot be recalculated.
Review the totals
Compare individual entries with the period summary, including adjustments, contributions and fees.
Payroll
Correct Payroll Days
While the period is a draft, select a crew member's payroll-day total to override it. A small asterisk beside the day count marks a manual override.
Open the day count
Select the crew member's payroll-days value in the grid.
Enter the correction
Enter a value within the permitted range; decimals are supported. Check the displayed Base pay.
Save
Choose Save to update the days and associated pay together.
Remove an override
Open an overridden value and choose Restore calculated days.
- Recalculation preserves a saved manual override.
- An override belongs to that crew member and payroll period only.
- Temporary crew on a day rate are charged only for days actually worked.
Payroll
Review Adjustments And Salary Changes
- Deductions, advances and reimbursements can change what is payable without changing the underlying salary.
- Record clear explanations for adjustments so another reviewer can understand them.
- Check effective dates when a salary changes during the month.
Payroll
Split Salary Between Bank Accounts
Salary can be paid to a primary bank account and an optional second account using a percentage allocation. The split divides the payment; it does not create additional salary. Bank charges can apply per payment.
- Check both accounts and the primary account's percentage before sign-off.
- Updating payment instructions requires permission and security verification.
- The first payroll sign-off freezes the payment instructions for that payroll.
Payroll
Publish And Sign Off
Finish the draft review
Resolve incorrect days, unexplained adjustments and missing access before publishing.
Publish
Use Publish when the draft is ready for the next stage of review.
Sign off
The authorised signatory uses Sign Off to certify the reviewed payroll.
Payroll
Check Readable Payslips
Payslips show every addition and deduction in plain words — never codes — with the currency beside each figure and clear spacing.
- Compare item totals with the stored payroll totals.
- Previewing a payslip does not change the payroll record.
Gratuities
Gratuities
Choose Record gratuity, enter the Amount and Currency, optionally attach it to a Guest trip (or add a Charter / trip reference such as 'Genoa charter') and Notes, then save. Each gratuity shows Expected, Received, Paid to crew and Retained amounts. Crew see what was shared with them, and any retained decision, on the Gratuities tab of their own profile.
Settings
Payroll Settings
Settings holds: Employer Information (company name, registration number, address, phone, payroll email — you can Import Details from a Document); Payroll Calculation (Default Currency and Calculation Method: Calendar Month (Standard), Calendar Days or Onboard Days Only); Probation & Notice Periods (probation length and calculation method, notice during and after probation — industry standards shown); Social Security (Malta) arrangement; and End of Contract notification settings.
Other Payroll Tabs
Crew Expenses, Training (reimbursements) and Credit Cards each have their own guide in this section of the manual.
