Planning Leave And Coverage

Leave Planner shows crew periods alongside yacht events so you can assess time away and operational coverage together. Calendar visibility, approval authority and editing permission are separate controls.

Check the period's status and details before making travel or staffing arrangements.
Contractors are not crew and must not be treated as crew leave-planning rows.

Who Can Use It

Crew
Submit their own requests and view the personal leave information available to them.
HODs
See and review leave requests for crew within their own department only. HOD access does not provide a yacht-wide leave view.
Captain
Makes the required final leave decision after department review.
Admins
Have broader planner access according to their assigned yacht permissions.
Choosing All or a custom crew filter does not bypass your department or permission restrictions.

Leave Planner

From Crew Request To Captain Approval

1

Crew submit a request

Choose the requested leave dates, add the relevant details and submit the request. Check the dates before sending.

2

HOD reviews the department

The HOD reviews the request against the crew member's schedule and departmental coverage, then approves it for the next stage or rejects it.

3

Captain makes the final decision

A request passed by the HOD still requires the Captain's decision. Do not treat intermediate approval as final permission to take leave.

4

Check the outcome

Review the updated request status and saved calendar after the decision. Use request history to follow previous decisions.

An approval action is checked against the request's current state. An old notification is not proof that the same action is still available.

What The Review Shows

The review combines schedule context with balance and accrual information calculated using the same rules as Leave Planner.

  • Balance Today shows the current calculated balance.
  • Balance At Start shows the balance immediately before the requested leave.
  • Balance After Leave shows the projected balance after the requested period.
  • Accrual Rate shows the applicable rate per onboard day.
  • The review also shows the start and end dates, calendar days requested and the net balance change.
  • Where available, include the department's schedule to assess who else will be away.
Calendar days requested and leave deducted are not always identical. Travel, handover, period settings and the employment window can affect the calculation.
Missing balance information is not a zero balance. Resolve missing employment or accrual information before relying on the projection.

Travel, Handover And Neutral Accrual

The default basis is Travel & Handover Neutral: contractual rotation length and leave accrual are never stretched by changeover days — 70 onboard days accrue exactly 70 days' worth of leave. Neutral means the day neither earns leave nor deducts leave.

  • Neutral travel is paid as a working day but does not accrue or use leave.
  • Travel can instead be configured to count as leave used or to accrue as a working day.
  • Check the applicable Travel & Handover settings and any period-specific treatment before reviewing a projected balance.
  • When Auto Travel Days settings change, distinguish changing the default from applying a change to existing saved days.
A travel bar on the calendar does not by itself tell you whether leave is being earned or deducted.

Crew Filters And Departing Crew

Crew filters control the rows displayed, not the saved schedule. Current uses the crew member's employment window for today; All provides the wider authorised roster. Custom is a selection of crew, not a new department.

  • Departing crew remain visible through their final employment month so their final periods and balances can still be reviewed.
  • Employment Ended and Not Yet Joined are display overlays, not additional leave or working periods.
  • Balances respect the employment end rather than continuing ordinary accrual indefinitely after departure.

Event Planner

Use Events As Planning Context

Yacht events help identify busy periods and competing demands when assessing leave.

  • Compare requested dates with guest operations, passages and other visible events.
  • Event visibility is permission-controlled; an empty calendar does not prove that no restricted events exist.
  • Changing a calendar filter or event display does not move approved leave or rotations.
