Find The Right Workspace

Guest Management separates guest identity records from trip planning and accommodation.

  • Guests contains the guest records.
  • Occ. Workers keeps occasional-worker records separate from guests.
  • Trips and Itinerary support visit planning.
  • Cabins shows guest accommodation.
  • Party and History provide their respective event and historical views.

Who Can Use It

Use only the controls available to your account. Being able to see guest information does not mean every planning view can be edited.

Users with Guest Management access
Can work with the guest controls available to their vessel account.
HODs and administrators
Have editing access to the itinerary planning views, subject to the active account context.
Guest passport and personal information should be used only for the operational purpose requiring it.

Guests

Add A Guest

1

Check for the person

Look for an existing guest record before creating another one, especially for returning visitors.

2

Open Add Guests

Enter the guest details manually or use the passport-upload option within the add dialog.

3

Review and save

Check identity details, dates and any cabin information before saving.

Use the occasional-worker workflow for occasional workers rather than recording them as guests or crew.

Guests

Upload Guest Passports

Guest passport upload is launched from the add dialog. The upload should not be treated as a substitute for reviewing guest identities.

1

Provide clear passport files

Make the full identity page readable and avoid glare or cropped details.

2

Check the extracted information

Compare names, nationality, passport details and dates against each source document.

3

Check for duplicates

Confirm whether the result belongs to an existing guest before completing creation.

Trips, Itinerary And Accommodation

Use Trips to review the visit being planned, Itinerary for its planning information and Cabins for the guest accommodation view.

1

New Trip

Open Trips and choose New Trip. Complete the name, dates, Start Place and End Place, then choose Create Trip (or Create & Scan Passports where shown).

2

Select the relevant visit

Check the trip and dates before reviewing guest participation or accommodation.

3

Check cabin assignments

Confirm the intended cabin for each guest. Verify the accommodation view after making changes.

4

Review amendments

After changing a guest or cabin assignment, check that the correct trip and people are still shown.

A guest cabin assignment should not be confused with a crew berth assignment.

History

Returning Guests And History

Use History when checking previous visits rather than assuming the current list contains every past guest.

  • Reuse the correct identity record when arranging a return visit.
  • Recheck passport validity and personal details before relying on information from an earlier stay.
  • Check the selected trip when interpreting a cabin or guest list.
  • Use Party for its event workflow, not as a replacement for maintaining the underlying guest details.
