Getting Started

Join your yacht, find your way around and understand your access.

Register Or Join Your Yacht

If your yacht already uses Yacht Watchkeeper, ask the person managing crew access for an invitation. Join the existing yacht rather than registering another vessel.

1

Use the appropriate registration route

New yacht administrators register the vessel. Invited crew follow their personal invitation and complete the account steps shown.

2

Check your details

Use the email associated with your invitation. Check your name and vessel before completing registration.

3

Complete the required setup

Follow any account, legal acceptance and security prompts before starting operational work.

A crew profile and a working login are separate: having your name on the manifest does not mean your invitation has been accepted.

Find Your Way Around

The dashboard and the hamburger menu show the tools available to your account. Available actions vary with your role, vessel and any read-only restrictions.

1

Check My Profile

Open your own profile and check your personal information. Ask an authorised manager to correct employment or access settings you cannot change.

2

Open Crew Management

Review the crew information available to you. Ordinary crew can see their own department but can only open their own profile.

3

Check your operational records

Find your watch schedule, leave arrangements and Hours of Rest. Review what has already been entered before making changes.

Do not assume a missing action is a fault. Some tabs and controls are deliberately restricted.

Who Can Use It

Crew
Use personal records and the operational tools permitted to them. Seeing a colleague on a list does not grant permission to open that colleague's profile.
Heads of Department
Have additional oversight, can open other crew profiles and can access the Crew Compliance Centre and Joiners tab.
Captains and administrators
Use administrative tools according to their assigned permissions. Finance and sensitive records have additional access rules.
Read-only users
May have broad visibility without permission to create or amend records.
Contractors
Use a separate, limited contractor experience. Contractors are never crew.

First Steps For Vessel Administrators

1

Check the vessel configuration

Review vessel details, active departments and the people assigned departmental responsibility.

2

Add crew and arrange access

Create or import the appropriate crew records, check departments and positions, then arrange invitations for people who need accounts.

3

Review employment and schedules

Check contract and rotation settings before preparing operational schedules. Review any imported document information against its source.

  • Keep visiting contractors in Contractor Management, not the crew manifest.
  • Check existing records before adding returning people to avoid duplicates.
  • Treat sensitive registers and finance permissions separately from general administrative visibility.
