Allowance Tracker

Understand The Allowance

Allowance Tracker compares a crew member's flight entitlement with qualifying journeys. Review the selected calendar year, allowance source and journey details together rather than relying on a single total.

One return flight represents two one-way journeys. Check the units before comparing an entitlement with individual travel rows.

Allowance Tracker

Who Can Use It

Crew
Can view their own allowance information.
HODs
Can view crew within their permitted departmental visibility; this does not grant allowance editing.
Admins
Can use allowance-editing controls, including marking self-funded journeys and the joining-flight setting.

Check The Entitlement Source

An allowance may come from a manual override, a scanned SEA contract or a matching yacht rule. A missing source is not proof of a contractual entitlement.

1

Choose the year

Use the calendar-year selector to review the relevant period.

2

Open the crew member

Review the source and annual entitlement alongside any carried-over amount.

3

Resolve discrepancies

Ask an authorised admin to check the underlying employment information or override rather than changing journey records to force a balance.

Review Used And Planned Journeys

Expand the crew member's journey history to understand the totals. Journeys already taken debit usage; future travel is not the same as allowance already used.

  • Untouched rotation draft movements do not count as completed allowance usage.
  • Check dates and IN or OUT direction before correcting a journey.
  • A negative balance indicates usage above the calculated entitlement.

Self-Funded Flights

A flight the crew member paid for themselves remains visible but never uses the yacht-funded allowance. Self-funded journeys are counted separately. Only admins can mark a flight as self-funded.

1

Find the exact journey

Expand the correct crew member and identify the date and direction.

2

Change the classification

An authorised admin uses the journey's self-funded control.

3

Review the result

Check the self-funded count and remaining allowance after the update.

Do not delete an actual movement simply because the crew member paid for it.
