Event Planner

Plan yacht events, organise calendar layers and control who can see each event.

Events Alongside Crew Planning

Event planning places yacht activities alongside crew schedules. Use it for operational periods, refit planning and crew activities without turning those events into crew rotation or leave records.

  • Events can provide context on Schedule Planner and Leave Planner calendars.
  • Category colours help distinguish different activities.
  • An event's visibility controls who can see it; a calendar filter only controls what you currently display.

Who Can Use It

Crew
See events shared with crew and their own personal events where available.
HODs
Can also see HOD-visible events and use management controls where their permissions allow.
Captain and admins
Manage events and categories through the controls available to their yacht role.
Do not assume that being able to see an event grants permission to edit it.
Personal visibility means the event belongs to its creator's private view; it is not simply another name for an admin-only event.

Views And Calendar Layers

Use Crew Timeline, Month, Week or Year to inspect the same planning information at different scales.

1

Choose a view

Use a detailed view for specific dates or a wider view for longer operational periods.

2

Open Calendars

Use the Calendars panel to select the categories you want to display.

3

Adjust layers

Toggle a category or All Events. These display choices apply across the event planner views.

  • Crew Events appear as star markers on the timeline rather than ordinary colour blocks.
  • Hiding a calendar layer does not delete its events or change who is authorised to see them.

Creating And Updating Events

1

Open the event controls

Use the available add-event control in the planner.

2

Enter the event

Provide the event name, category and start and end dates. Check the full date range before saving.

3

Check visibility

Where offered, choose the audience deliberately rather than relying on an inherited default.

4

Review the calendar

After saving, check the event's dates and category in the relevant view.

Open an editable event to update it. Use Delete only when you intend to remove it, not merely hide it from your current view.
Editing an event does not automatically approve leave or move saved crew rotations.

Choosing Who Can See An Event

  • Crew visibility shares an event with crew who have access to the relevant planner.
  • HOD visibility restricts it to management-level access, including HODs and authorised admins.
  • Personal visibility keeps the event in its creator's private view.
  • Category defaults can provide an initial visibility choice; check the event's actual setting before saving sensitive details.
Use a generic event title when detailed information is not needed by the intended audience.

Categories And Watch-Schedule Events

Categories organise events by purpose and colour. Use the category controls available to your role to maintain suitable yacht categories and defaults.

  • Passage events originate from Underway schedules.
  • Guest events originate from Guest On trips.
  • These operational categories are protected; correct linked operational events in their source watch schedule rather than editing them as ordinary custom events.
  • Use custom categories for other activities such as yard periods, refit work or crew gatherings.
Changing a category colour changes presentation, not the underlying operational schedule.
