Day Worker Management

Maintain day-worker records, work sessions, invitations and payments.

Where to find it:Hamburger menu → Day Workers

Overview

Day Worker Management keeps short-term work records, recorded sessions and payment information together. Use Active for current workers and Inactive for deactivated workers.

  • Check for an existing person before creating a new record.
  • Work sessions and payments are separate records.
  • A saved worker record does not mean the worker has completed account registration.

Who Can Use It

Vessel users with access
Use the day-worker management actions available to their account. Sensitive payment and signature actions remain subject to their own controls.
Day workers
After joining through an invitation, use their dedicated dashboard for their own information and available actions.
Do not assume a day-worker login provides ordinary crew access.

Add Or Reactivate A Worker

1

Search current and inactive records

Check both Active and Inactive before creating another person. Reactivate an existing record when appropriate.

2

Choose Add Day Worker

Enter the required first name, last name and start date. Add an end date and contact information where available.

3

Choose invitation options

Email and WhatsApp invitation options depend on the contact details entered. Check those details before enabling the relevant option.

4

Save the worker

The action reads Add & Send Invite when an invitation option is selected, otherwise Add Day Worker.

Record Work Sessions

Record the work actually performed. The session form includes the date, a Full Day option, start and end times for a partial session, and notes.

1

Choose the worker and date

Confirm that you are entering work against the correct person and day.

2

Choose full or partial day

Use Full Day where appropriate. For a partial session, check the start and end times carefully.

3

Review the saved history

Check for duplicate or missing sessions before using the history to prepare a payment.

A work session is not a crew Hours of Rest entry and does not by itself confirm payment.

Payments And Payslips

Review work history before preparing a payment. Use the payment and payslip controls available to your account rather than assuming recorded work is already paid.

1

Check the payment details

Confirm the worker, covered period and payment information against the recorded sessions.

2

Complete required signatures

Follow the administrator and day-worker signature steps shown for the payment. Do not sign on another person's behalf.

3

Review the payslip

Check the completed record and use the available payslip viewing or sending action.

Check the actual signature and payment state rather than treating a generated payslip as evidence that every step is complete.

Invitations And The Worker Dashboard

An invitation lets the day worker complete registration and reach their dedicated dashboard. Check the current invitation and account state before sending another invitation.

  • Use the correct email or WhatsApp number for the intended person.
  • Share personal invitation links privately.
  • Ask the worker to complete the registration steps; sending the invitation does not complete them.
  • Use the existing record for returning workers so their work and payment history remains together.
